Online Booking for Massage Studios: What Your Guests Actually Need
Published on 10/22/2026
A guest decides to book a massage at 10 pm on the sofa, after a long day. Your studio is closed, your phone is off, and you are asleep. If the only way to book is a phone call during opening hours, that guest either calls tomorrow (maybe) or books somewhere else tonight (more likely).
For a small studio with two to four masseurs, that is the whole case for online booking: the guest books when they feel like it, and you do not have to be there. This piece walks through what a guest actually needs from a booking page, and how to set it up without becoming a tech person.
Guests book when you are closed
Think about when people decide to treat themselves: in the evening, on the weekend, on a holiday, on the train home. Those are exactly the hours when a masseur is busy with a client, or off.
An online booking page works around the clock. The guest sees the free times, picks one and gets a confirmation. You see it in your calendar the next morning, without having answered a single call between two treatments. Nobody had to stop a session to pick up the phone, and nobody had to call back.
Duration and masseur: the two questions every guest has
Most guests ask the same two things before they book: "How long?" and "With whom?"
Duration. Thai massage, oil massage, back and neck: most studios sell the same treatment in 60 and 90 minutes, sometimes 30 or 120. In yAppointment each service has its own length and its own price, so a 60-minute and a 90-minute version are clear to the guest and the right amount of time is blocked in your calendar. No more "I thought it was an hour".
Masseur. Some regulars only want one person. Others do not care, as long as there is a free slot. The booking flow goes step by step: service, masseur, time, details, confirmation. The guest sees the team, and each masseur has their own calendar with their own working hours and days off.
Couples massage: two people, one room, one time
Couples massage is the booking that is hardest to get right by hand. It needs a room that fits two tables, and two masseurs free at exactly the same time. One missed overlap and a couple arrives to find only one masseur.
Before you offer it online, decide how you want to run it:
- Keep a dedicated couples room. In yAppointment you can set up rooms and equipment as resources that are booked together with a service. If the couples room is a resource, it cannot be booked twice for the same time.
- Offer it as its own service, with its own length and price, so guests never have to guess.
- Plan which two masseurs do couples sessions, and make sure both of them are free in the slots you open.
Start with a few fixed couples slots a week rather than all day. It is easier to open more later than to apologise for a mix-up.
Gift cards: the classic present
A massage is one of the most natural gifts there is, and most studios sell vouchers anyway, on paper, at the desk. yAppointment includes gift cards as part of the product. You issue them, the guest receives the card by e-mail as a PDF, and when the recipient comes in, you redeem it, and the value is deducted from the booking.
It matters most before holidays, birthdays and Valentine's Day: a gift card is a sale that does not depend on a free slot today, and the recipient is often a new guest who has never been in your studio.
Reminders: fewer empty tables
An empty treatment table costs the full price of the hour, and often the hour next to it as well, because you cannot rebook it at the last minute. The simplest remedy is a reminder. In yAppointment you choose how long before the appointment the reminder goes out, and it is sent by e-mail or SMS. If the plan changes and the guest reschedules or cancels, the reminder moves with the booking.
Two more things that help:
- A waitlist. When a guest cancels, the slot can be offered to the next person waiting, instead of staying empty.
- A deposit for long sessions, if you want one. Guests can pay it online by card, and it protects the 90-minute slots in particular.
Your own look, and your guests' languages
A small studio has a personality: the name, the photos, the way you describe your treatments. A booking page should feel like your studio, not like a marketplace where your treatments sit between a hundred others. Your guests land on your own page with your services, your team and your news, and you can place the booking form on your own website too.
Tourists are the other half. A guest from another country will not book what they cannot read. The booking page and the e-mails are available in more than twenty languages, so a visitor can book in their own.
A short checklist before you go live
- Your services are set up with a length and a price for each version (60 min, 90 min).
- Every masseur has working hours and days off in the calendar.
- Your couples room is a resource, and you have decided which masseurs run couples sessions.
- Reminders are on, and you chose how long before the appointment they go out.
- Gift cards are set up and you know how you will redeem them at the desk.
- You tested a booking yourself, in the evening, from your phone.
Start small, on your own time
yAppointment costs 10 € per location per month, with no commission on your bookings, and the first 14 days are free, no card needed. You can set it up yourself, step by step. If you would rather not, ask us to set up your account from your website or social page, free of charge, and just check the result.
Your guests book. You give the massage.
